Ratefold: Hospital Shift Pay — Help and questions

Ratefold adds up the shifts you log under the overtime rule and pay schedule you choose: your hours, a regular rate with your differentials folded into it, overtime at one and a half times that rate, and the gross for each pay period. Every figure opens to the steps that made it.

It is arithmetic under the rules you set. It is not the hospital's pay record, and it is not legal or tax advice.

Getting started

What do I need to set up? Your base rate, any differentials you are paid, your overtime rule and your pay schedule. Settings → Set up your pay walks through them one step at a time, and Settings → Edit your pay setup runs it again whenever your pay changes. You can also clock in before any of this and add the rate afterwards. Hours are counted either way; dollars appear once there is a base rate.

Is there an account or a sign-in? No. There is nothing to sign up for, and Ratefold sends nothing you type off your phone.

Logging shifts

How do I log a shift as I work it? Tap Clock in. The running shift stays in view as you move around the app, and you can take and end breaks from the clock. When you clock out, the shift lands in its pay period. The clock is kept as the moment you started, so closing the app or restarting the phone does not lose it.

I forgot to clock out. If a shift has been on the clock a long time, Ratefold asks whether you are still working when you next open it. It never closes a shift on its own. You can set the real end time from there.

How do I add a shift after the fact? Shifts → Add shift. Templates for 7a–7p and 7p–7a are there to start from. You can add breaks, mark a break as paid, and mark the differentials that apply.

Night shifts that cross midnight? That is the normal case. A shift is a start and an end, and Ratefold splits its hours at midnight, at your workweek start and at your pay period boundary. The Edit shift screen shows each piece. Across a daylight saving change Ratefold counts the hours you actually worked, so a 7p–7a night comes out at 11 or 13 hours on the two change nights.

Can I repeat a shift I work often? Yes. Each shift in the list has a repeat button (Log again) that opens a new shift with the same hours, ready for a new date.

I deleted a shift by mistake. Tap Undo delete on the screen that appears right after you delete it.

Is there a limit on how many shifts I can keep? No. There is no cap on days, shifts or history.

Differentials and overtime

Which differentials can I add? Night, weekend, charge, holiday and your own named ones, under Settings → Jobs and differentials. Each can be dollars per hour, a percent of base (typing "10%" works) or a flat amount per shift. A night or weekend differential has a time window, like 7 PM to 7 AM or Friday 7 PM to Monday 7 AM, and applies only to the part of a shift inside that window. A charge or holiday differential applies to the shifts you mark with it.

Why is my overtime rate higher than one and a half times my base? Federal rules count differentials as part of your regular rate, so overtime is paid on the rate with them folded in. On a $40.00 base with a $4.00 night differential on 24 of 48 hours in a week, overtime is paid on $42.00, not $40.00. Tap the pay figure on the Pay screen to see the arithmetic for your own week.

Which overtime rules does Ratefold use? Weekly 40: every hour after the 40th in your workweek is paid at time and a half of your regular rate. A 12-hour shift is not overtime by itself. Weekly 40 is free.

With Ratefold Pro: the 8 and 80 rule (more than 8 in a workday or 80 in a 14-day period, whichever is more), California daily and seventh-day overtime, on-call and call-back pay, a second job with its own base rate, and a line-by-line paystub check.

Where do the rules come from? US Department of Labor, Wage and Hour Division, Fact Sheet #54, "The Health Care Industry and Calculating Overtime Pay", the Fair Labor Standards Act section 7(a) (29 U.S.C. 207(a)), and 29 CFR Part 778. The Overtime rule screen cites Fact Sheet #54 and section 7(a) beside the rule; Settings → How Ratefold works names the rest.

My paystub shows a different amount. Ratefold adds up only what you have entered, under the rules you chose. A difference can come from a rule, a differential window, a rounding policy, a deduction or a shift entered differently. Open the period, tap through to the breakdown, and compare it line by line with your paystub. If you still see a difference, those steps are a good thing to bring to your payroll office. Ratefold does not tell you whether your employer paid you correctly.

Does Ratefold show take-home pay? Yes, as an estimate, with Ratefold Pro (your free week includes it). It takes out federal, state and common local taxes and your deductions, using this year's official withholding tables. Tap any line to see the math. Your paycheck may differ.

Can I change my pay period? Yes. Settings → Pay periods offers weekly, every two weeks from a date you choose, twice a month on the days you choose, or monthly. Change it and every period recomputes.

When does my workweek start? On the Overtime rule screen you can set the day and time your workweek starts, so overtime is counted over the same seven days your hospital counts. If you are not sure when that is, its handbook or your paystub says so.

Seeing your pay

Pay shows the current pay period: what it adds up to so far, your regular rate, regular and overtime hours, and the rule and period in force.

Shifts lists every shift, grouped by pay period, newest first.

Calendar shows each month with your shifts on it. Tap a day to see what you worked.

Reports adds up your shifts by pay period, week, month or year. Every total opens to how it was made.

Pay periods keeps every past period, each with its own breakdown.

Your data, export and backup

Where are my shifts stored? Only on this phone. Ratefold uploads none of it, and we cannot see it.

How do I export my shifts? Settings → Export. Pick This period, Last period or Every shift, then copy the shifts as CSV and paste them into a spreadsheet. In the browser version you can also save them as a .csv file to your downloads. The spreadsheet has one row per shift and a Total row, and its total matches the period total on screen. You can also copy the breakdown as plain text for a note or a message. Export is free and always will be.

How do I keep a backup? Settings → Copy a backup (also under Settings → Export). In the browser version you can also tap Save backup file. A backup holds every shift, job, differential and rule, but never your passcode. Keep it somewhere off this phone: a note, an email to yourself, or a file. Settings shows when you last copied one.

How do I move to a new phone, or restore? Install Ratefold on the new phone, open Settings → Restore from a copy, and paste your backup or open the backup file. Ratefold shows you what it will bring back before anything changes, adds the shifts this phone does not already have, and keeps a copy of what was there first. It never replaces your data without asking.

Will my phone's own backup bring Ratefold back? Do not rely on it. A Ratefold backup you have copied somewhere else is the only way back we can promise. If the phone is lost or reset with no backup, your shifts cannot be recovered. There is no server copy.

How do I share my unit's rules with a coworker? Settings → Jobs and differentials → Copy my rules. This copies your differentials, overtime rule, workweek and pay schedule as text. It never carries a shift, a pay figure or your base rate. Your coworker pastes it under Settings → Export → Restore a backup or add a rule card, checks the rules against her contract, and adds her own base rate.

How do I erase everything? Settings has an erase option that removes everything Ratefold keeps on this phone. It cannot be undone, so copy a backup first.

Passcode lock

Can I lock Ratefold? Yes. Settings → Passcode lock. You choose when it asks again after Ratefold has been in the background. The lock keeps Ratefold closed to anyone else holding your phone. It does not encrypt your data.

I forgot my passcode. Ratefold has no account and keeps no copy of your passcode, so nobody can reset it, including us. The only way back in is to erase everything on this phone and start again. If you have a backup somewhere else, you can restore it afterwards.

Appearance

Settings → Appearance: follow your phone, always light, or always dark.

What is free

These are free, with no trial and no time limit:

Settings → What is free lists the same things inside the app.

What does Ratefold Pro add? The 8-and-80 rule, California daily and seventh-day overtime, more than one job, on-call and call-back pay, and the paystub check. It is $24.99 a year or $3.99 a month (US prices; Google Play shows yours before you confirm), and on Google Play you can try it free for a week first, with no card. On iPhone, the App Store shows your price before you confirm, and the free week is Apple's free trial of the yearly plan, for new subscribers: it is charged to your Apple Account when the week ends unless you cancel at least 24 hours before it ends. It adds rules and checks and takes none of the above away. Your shifts, history, export and backup are never held behind a payment, and anything you logged stays visible and exportable whether or not you pay.

Subscriptions, cancelling and refunds

Am I being charged for anything? Only if you subscribe to Ratefold Pro. On Google Play, you can try Pro free for a week first: one tap after your first saved shift, or on the Ratefold Pro screen, opens it for 7 days with no card, and nothing is charged or renews when the week ends. Google Play charges the yearly or monthly price when you confirm. Both plans renew automatically at the same price until you cancel.

On iPhone, the free week is Apple's 1-week free trial of the yearly plan, for new subscribers. It starts on the Ratefold Pro screen, and the yearly price is charged to your Apple Account when the week ends, unless you cancel at least 24 hours before it ends. Otherwise the yearly or monthly price is charged to your Apple Account when you confirm. Both plans renew automatically unless cancelled at least 24 hours before the end of the current period.

How do I cancel? In Ratefold: Settings, then the subscription row, then "Manage or cancel in Google Play settings", which opens Google Play's own subscription page, where Cancel is. Ratefold puts no survey or offer in the way. You can also cancel in the Play Store app under Payments and subscriptions. Cancel at least 24 hours before the period ends to stop the next charge; Pro stays on until the end of the period you paid for.

On iPhone: Settings, then the subscription row, then "Manage or cancel in Settings", which opens Apple's own subscription page. You can also manage or cancel any time in your iPhone's Settings: tap the name at the top, then Subscriptions. Cancel at least 24 hours before the end of the current period to stop the next charge.

I reinstalled Ratefold or moved to a new phone. How do I get Pro back? Use the same Google account in the Play Store, open Ratefold, and tap Restore purchases on the Ratefold Pro screen. On iPhone, sign in to the App Store with the same Apple Account, open Ratefold, and tap Restore purchases on the same screen.

How do refunds work? Payments go to Google Play, not to us. Ratefold has no account and never sees your payment details, so refunds are requested from Google Play, under its refund policy. On iPhone, payments go to Apple, and refunds are requested from Apple, under its refund policy. Because there is no account, a subscription bought on one store does not carry over to the other.

What Ratefold cannot do

Some things an app on a phone might be expected to do are not in Ratefold, either because the platform it is built on does not allow them or because we chose not to.

Privacy

Ratefold sends nothing you enter off this phone. It has no account. No ads and no usage tracking. What leaves is what you copy or save yourself; the copy Android makes of the app's data, if your phone's own backup is on; and, if you buy Ratefold Pro, the purchase record that Google Play and RevenueCat keep. The privacy policy says exactly what that record holds. On iPhone, the copy is the one iCloud Backup makes, if it is on; the purchase record is the one Apple and RevenueCat keep; and each time Ratefold checks for Pro, whether or not you buy, RevenueCat receives a random app user ID, Apple's identifier for vendor and basic app and phone details, never anything you enter.

Who we are

Ratefold is made by an independent developer publishing apps under chibuapps.com. We are not a hospital, a staffing agency, a union, a payroll company or a law firm, and we are not connected to the Department of Labor. Ratefold exists because hospital pay, with its differentials and overtime rules, is hard to check by hand, and every figure should show its working.

Contact

Please use the developer contact email shown on Ratefold's Google Play listing. It is the same address for the iPhone app.

Because there is no account, we cannot look up your shifts or recover them. If you write about a figure, say which rule and pay period you use, and what you expected to see.
